1. About This Policy
This Cookie Policy explains how Prolo Ltd ("the Company," "we," "us," or "our") uses cookies and similar technologies on prololtd.com and the Prolo procurement platform. It supplements our Privacy Policy and reflects our obligations under the Privacy and Electronic Communications Regulations (PECR) and the UK General Data Protection Regulation.
2. What Are Cookies
Cookies are small text files that a website places on your device when you visit. They allow the site to recognise your browser across sessions, store preferences, maintain your logged-in state, and measure how the site is used. We also use related technologies such as local storage (used by the cookie consent record itself) and, where consent is given, pixel tags embedded by third-party analytics providers.
3. Your Consent (PECR)
Prolo operates a prior-consent model in line with PECR. We do not set any non-essential cookie on your device until you have given your consent through the cookie banner shown on your first visit to prololtd.com. Strictly necessary cookies are exempt from this requirement because they are indispensable for the Service to function.
You can change your choice at any time by selecting "Cookie preferences" in the footer of any page. Withdrawing consent does not affect the lawfulness of any processing carried out before withdrawal.
4. Categories of Cookies We Use
| Category | Examples | Lifetime | Legal basis |
|---|---|---|---|
| Strictly necessary | Session token (keeps you logged in to your contractor or supplier account); CSRF token (prevents cross-site request forgery); cookie-consent record (stores your PECR preference) | Session to 12 months | Legitimate interest; contract performance |
| Preferences | Interface preferences such as table sort order saved across sessions | Up to 12 months | Consent |
| Analytics | Anonymised page-view and session data collected through a self-hosted analytics tool. No individual user profiles are built; IP addresses are not stored in full. | Up to 13 months | Consent |
| Marketing | Not currently used | n/a | Consent (required if introduced) |
5. Third-Party Cookies
Prolo currently uses no third-party analytics or advertising services that would set cookies independently on your device. Where we engage a processor that sets cookies (for example, an analytics provider we may introduce in future), we hold a data-processing agreement with that provider under Article 28 UK GDPR and will only enable their cookies after you have given consent. We will update this policy to name any new provider before enabling their cookies.
6. Managing Your Consent
- Use the cookie banner on your first visit to accept all cookies or to accept essential cookies only.
- Select "Cookie preferences" in the footer at any time to change or withdraw your choice.
- You can also block or delete cookies through your browser settings. Guidance for common browsers is available at aboutcookies.org. Note that blocking strictly necessary cookies will prevent the platform from functioning correctly.
- Where your browser transmits a Global Privacy Control (GPC) signal, Prolo honours that signal as a request to limit optional data collection (analytics and preference cookies) to essential cookies only.
7. Changes to This Policy
If we change the categories of cookies we use, add a new analytics or marketing provider, or otherwise materially update this policy, we will post a revised version here with an updated "Last updated" date and, where required by PECR, request renewed consent through the cookie banner.
